Operations Manual for the Hurricane Committee

This manual is for the guidance of the Board of Directors and the members of our community who volunteer to be available to help during the hurricane season if the clubhouse and annex, plus the adjacent support areas including the pool, need to be secured prior to the approach of a hurricane.

Preparation

In May of each year, the Board shall
··· have management company personnel inspect the accordion shutters and the roll downs and assure all are on track and in working order,
··· post on the bulletin board a form that solicits volunteers for the committee,
··· select a chair for the hurricane committee, and provide that person with a copy of this manual, keys to the storage areas and to the shutters and access to the box of hurricane supplies in the office storeroom
··· survey members of the board and prepare a schedule when those who are physically able will be available during the hurricane season, i.e. June - November.
··· make sure that the "Hurricane Alert Notice" printed in the newsletter of June 1st and August 1.
··· after the Memorial Day Weekend, excess furniture should be moved to the annex storage garage where it will remain until December 1.

The Chair of the Hurricane Committee shall
···have access to a portable electric drill with a wide bladed bit or a comparable screwdriver
···prepare an availability schedule for volunteers
···take inventory of the hurricane supplies in the storage room
          4 cans of Silicon lubricant
          4 cans of wasp spray
          fasteners for panels used to cover bathrooms
          sign holders (zip lock bags)
          special signs
          special bit to remove highest wood plank on exterior ramp to card room
···if necessary replenish cans of Silicon lubricant and wasp spray
···prepare 5 bags each containing a can of Silicon lubricant, a can of wasp spray and,for each team and, if necessary, fasteners for panels used to cover bathrooms
···check that accordion and roll down shutters are in working order
···update material for the newsletter
···meet with new committee members and orient them to tasks
···prepare, distribute, and post team responsibilities before the storm
···prepare, distribute, and post team responsibilities after the storm
···appoint a vice-chair

Action

With the announcement by the Collier County Emergency Management office that that there is a Hurricane Watch - which means that we could have a hurricane within 36 hours - the pre-designated member of our Board of Directors will contact the chairman or designated member of the Hurricane Committee and evaluate the situation.

The pre-designated member of our Board of Directors will decide to secure or not to secure. If the former, that member shall notify the Hurricane Committee Chair who will contact those members of the committee who have volunteered for that month. They will meet together at the Clubhouse as soon as possible. (We recognize that some members may be delayed because they are securing their own homes.)

Hurricane Committee members shall be responsible for securing the clubhouse, pool, shuffleboard court, and bocce area.

Lower and remove the American flag. Secure it on the Hurricane Committee's shelf in the store room.

The Annex Team is respnsible for securing the annex, and tennis courts:

The coordinator of each team shall hold key(s) and supplies until the emergency is over.

After the Emergency

After the emergency the members of the committee acting as a group should move the pool furniture that had been stored in the clubhouse to the pool area.

Each of the four teams and the chairman shall return the buildings and grounds to their pre-storm condition and then give the chair the keys and bags of supplies.

Storage of Supplies

During non-Hurricane season

The following items will be in the Clubhouse storage room on the shelf on the back wall:
···Rods used to roll down shutters
···Two yellow sills for the front door
···Panels for the bathrooms

The following items will be in a labeled carton in the Office storage room:
···Fasteners for the panels used for the bathroom panels
···Cans of lubricant and wasp spray
···Keys to the locks on accordion shutters
···Drill bit to be used to remove wooden board from ramp.
The keys to the clubhouse and annex storage areas, used by the Chair of the committee, properly labeled, should be kept separately in the key lock box.

During Hurricane season

During Hurricane Season the following items will be kept in the Clubhouse storage room, in the corner immediately to the right of the door:
···Rods used to roll down shutters
Ladder
···Two yellow sills for the front door
···Piece of wood from the ramp to the kitchen area

Panels for the bathrooms may be left in a convenient location in the storeroom.

At the end of the hurricane season:

···Piece of wood from the ramp to the kitchen area is to be replaced.
···Hurricane supplies should be relocated in the office storeroom
···The Chair of the Hurricane Commitee shall prepare a newsletter release that acknowledges by name each person who helped on the committee.
